Vacancy – Administration Executive

Job Description

A vacancy at our institution has arisen for a full-time Administration Executive. The working hours will be from 8.30am – 5.30pm (Monday – Friday) and on Saturday between 9am and 12pm on a roster basis.

The duties for the suitable candidate will be as follows:

  • Provide administrative support to the office;
  • Assist in the smooth running of the office;
  • Participate in staff meetings;
  • Maintain and update the filing system as necessary;
  • Ensure the maintenance and the upkeeping of all documents
  • Ensure all documentation aligns directly with the internal procedures;
  • Assist in the creation and review of templates, forms and SOPs.
  • Assist in the execution of the internal process;
  • Develop, revise and write minutes and reports as necessary;
  • Deal with enquiries and requests for information from both internal and external clients including meetings with new, potential clients and registrations;
  • Assist with the procurement of internal resources such as stationery
  • Assist with course enrollments, student enquiries, VLE enquiries and other student support services
  • Assist with the creation of online classrooms and disseminate links to students
  • Ensure that financial, legal or administrative requirements and regulations are complied with;
  • Assist in managing, implementing and updating existing policies as well as processes and procedures related to the smooth running of the school;
  • Ensure sensitive data and information is stored and retained in line with GDPR requirements and confidentiality of information is maintained in all communications;
  • Taking the initiative to simplify processes whilst observing the institution’s policies, processes and procedures;
  • Carry out other duties as directed by the Director or representative.
  • Schedule courses and prepare a course time table
  • Ensure that lecturers meet quality assurance requirements
  • A  level 5 qualification or higher is required to apply for this position in business management, administration, sales or equivalent.
  • Full induction training will be given to the right candidate and the ideal candidate would be available to start in June.

Director’s visit to Utena Regional Vocational Training Centre

Visiting Utena’s RPM Center, 2023 January 23 Rosanne Galea, director of the Maltese educational institution Future focus Ltd, signed a mutual cooperation agreement with Zenon Alekna, director of the Utena Regional Vocational Training Center. At the meeting, the prospects for further dialogue were discussed, it was agreed not only to continue student and teacher exchange projects, but also to expand cooperation by teaching or retraining adults and developing foreign language skills.

Closure of Jobsplus TPS Scheme

Jobsplus have announced that the current TPS scheme will not be extended.

 

Jobsplus will continue accepting TPS application forms till end of December 2022, for training programmes which will be completely finished by the 30th June 2023.  Reimbursement Documentation need to be submitted by end of 30th October 2023.

 

I suggest that you go through the Terms and Conditions of the Scheme, since during this week, we have uploaded some important information related to the closure of the scheme.

 

Please make sure that all those who applied under the TPS, finish their training programmes by end of June 2023, otherwise they will encounter issues at reimbursement stage.
